Bookkeeping for chiropractic and dental practices

You went to school for teeth and spines. Not for QuickBooks.

Why a specialist

A practice does not have the same books as a landscaping company

Most bookkeepers take anybody, which means learning your industry on your dime. Practices are the main book of business here, so the questions are answered before you have to ask them.

Insurance is not revenue

What gets billed, what gets adjusted off, and what actually lands in the account are three different numbers. Books that treat them as one give you a profit figure that is not real.

Associates, hygienists, contractors

Practice payroll gets complicated fast. Getting the classification right is cheaper than fixing it later, and it is the thing that draws attention when it is wrong.

Equipment is a decision, not a line item

A new chair or a scanner is a five figure call with a tax consequence. You should know what it does to your numbers before you sign, not in March.

If you run a practice and your bookkeeper has never seen an insurance aging report, you are paying someone to learn.

What we do

Four things, done properly

Most practices need some combination of these, and we work out which on the first call.

Monthly bookkeeping

Your transactions categorized, accounts reconciled, and a report you can actually read at the end of every month.

  • Bank and card reconciliation
  • Profit and loss, balance sheet, cash flow
  • What you owe and what you are owed, kept current
  • Books your CPA does not have to fix in April

Cleanup and setup

For the practice that has been doing it themselves, or inherited a file from someone who was. We sort out what is there and get it current.

  • Catch-up on months or years of backlog
  • Chart of accounts rebuilt to fit a practice
  • Duplicate and miscategorized entries cleared
  • A new file set up properly from the start

Payroll

Your team paid on time and correctly, with the tax side handled. Including the parts that get practices in trouble.

  • Run payroll on your schedule
  • Payroll tax filings and deposits
  • W-2 and 1099 at year end
  • Contractor against employee, sorted correctly

Fractional CFO

A chief financial officer's judgment at the scale a practice actually needs. This is the part that changes decisions rather than recording them.

  • What changed this month, and why
  • Cash flow forecasting and budgeting
  • The equipment or hiring decision, before you sign
  • What to do before year end, not after

Who you work with

The same person every month, who already knows your file.

Prime Numbers is Matthew Fasl. He started it to do bookkeeping the way he wanted it done when he was on the other side of it: no account managers, no handoffs, no explaining your practice again to somebody new. A small book of clients we actually know.

Almost all of our work comes by referral, from clients, from people Matthew knows through BNI, and from CPAs who send the bookkeeping our way. That is the whole marketing plan, and it only works if the work is right.

How it works

From first call to clean books

  1. A call, not a pitch

Twenty minutes. What you run, how the books are kept now, and what is actually bothering you about them. Often the answer is that you need less than you think.

  2. We look at the file

Before quoting anything we open your QuickBooks and see the real state of it. A quote given without looking is a guess, and guesses get revised.

  3. A number in writing

What it costs and what is included, written down. If cleanup is needed first, that is quoted separately so it does not hide inside the monthly.

  4. Then it is just handled

Books closed monthly, reports sent, and a person to text when something comes up. Tax season stops being an event.

Working with Matt at Prime Numbers Bookkeeping is easily one of the best decisions I've made for my business. What started as an affordable, one-time cleanup a year ago turned into hiring them full-time. The peace of mind knowing my books are handled every month - without year-end stress - is priceless. Highly recommended!

Matt Fasl has been a huge asset to us at Dynamo Dusty’s Tree Service . He’s one of those rare financial pros who actually takes the time to understand your business and build something around your goals — not just a one-size-fits-all system. He’s incredibly customer-focused, goes above and beyond, and works seamlessly with our other business advisors to make sure everything flows smoothly behind the scenes. Questions we get

Before you call

Do I need a bookkeeper if I already have a CPA?

Usually yes, and they do different jobs. A CPA files your return using whatever the books say. A bookkeeper makes sure the books say something true. If your CPA is doing cleanup every March, you are paying accountant rates for bookkeeping work.

My books are a mess. Is that a problem?

It is the normal starting point. Most practices that call have been doing it themselves between patients for a couple of years. Cleanup is quoted separately from the monthly work so you can see what each one costs.

Do you have to be local?

No. The work is remote and secure, and we have clients we have never met in person. Prime Numbers is based in Buda, so if you are nearby and would rather sit down, that is easy too.

Do you only work with chiropractors and dentists?

Those are where we go deepest, along with non-profit organizations. We take other small businesses too. If your books are straightforward, say so on the call and we will tell you honestly whether you need us monthly or just a cleanup and a check-in.

How much does it cost?

The packages are published on the pricing page, with what is included at each tier, so you can see the shape of it before you call. Where you land depends on transaction volume, how many accounts, and whether payroll is involved, and we confirm the number after we have looked at your file rather than guessing at it.

What happens to my QuickBooks file?

It stays yours. We work inside your file with our own access, so if we ever stop working together you keep everything, with nothing to migrate and no export to request.
